How should super users help staff without creating unofficial process?
Super users are strongest when they reinforce approved workflows, identify recurring questions and improve documented standard work. They should not become an alternate production-support or governance channel for access, configuration, security, clinical decisions or permanent undocumented workarounds.
First checks
Work through the workflow before escalating blindly.
- Define what super users may answer.
- Define what must be escalated.
- Capture repeat questions for job-aid improvement.
- Give super users the approved ownership map.
- Review workarounds before they become standard.
Ownership questions
- Who governs the super-user program?
- Who approves job-aid changes?
- Who handles access and defects?
- Who owns clinical or policy decisions?
Avoid making the problem worse
Common failure patterns
- Sharing credentials.
- Making production changes without authorization.
- Presenting personal workarounds as official process.
When to escalate
Access, security, clinical, defect and configuration issues should move from the super user to the authorized owner using the organization’s documented route.
